Tesco Controls’ core business is designing and building process control systems and power solutions for municipalities and industrial clients to keep critical infrastructure operating efficiently. Our Transportation Sales department is growing! Join our team and you will contribute to complex and interesting projects that impact the lives of the communities we serve.

Job Summary:

Under moderate supervision, support the Sales Department–Transportation Division as identified below. This will include administrative tasks related to sales and estimating. These tasks may include, but are not limited to, order entry processing, purchase order/contract processing, filing, internet research, coordinating schedules, scheduling, submittal processing, customer service activities, answering/making telephone calls, and other administrative duties assigned. Provide quality customer service for customers and interdepartmental personnel. Work with other departments as needed to carry out work; seek guidance from Sales Estimators; and refer difficult items to Sales Supervisor or Sales Manager. Follow up on all tasks to facilitate the sales process, fulfill part orders, coordinate RMA requests, provide customer service, and ensure completion of work. Develop and maintain department documentation, including resource information on products, vendors, subcontractors, government requirements, etc. as necessary to perform job.

Essential Functions:

  • Using subscription website services, review project information for Sales Estimating (including identifying projects/opportunities related to Company’s products and services, downloading files, organizing files on network drive structure, assimilating information, combining PDF files, printing, data logging, and project tracking)
  • Copy and track bid results and bid sheets for sales meetings
  • Enter sales order data into company databases
  • Purchase Order/Contract processing, coordination, administration, and document management (including logging/tracking, acquiring acknowledgements/signatures, acquiring/processing insurance certificates and other required documentation, processing into documentation systems, filing into project folders, and coordinating with customer needs).
  • Process requests for Insurance Certificate, Bid Bonds, and Payment/Performance Bonds, as needed.
  • Log and maintain sales revenue numbers-daily, weekly, quarterly, yearly
  • Create job folders for internal use
  • Manage OFA/Open Order Status Reports/Vendor Statements
  • Process parts request
  • Process Submittals Packages, including the collecting of information, product data, drawings, and assembling them into a tabulated Submittal Packet. This involves the creation of Cover Transmittal Letters, Table of Contents, and electronic PDF books (fully bookmarked)
  • Process Sales Catalog/Brochure Information Packets, including the collection of information and product data in support of sales efforts, trade shows, and customer requests. This duty also involves the management of sales collateral stock, including coordinating reorder of material through standard protocols and Marketing, stocking material in allocated storage library, and maintaining online and network files with updated content issued by Marketing
  • Coordinate and maintain Outside Sales calendars, schedule travel, process check request, process vendor shows applications and care packages
  • Take incoming customer calls and provide customers with order status; expected ship date, back order, and out for approval information
  • Create various sales and estimating reports as requested
  • Assist estimators as needed
  • Other administrative duties; typing, filing, faxing, proof read correspondences, and other administrative duties as assigned

  • Assist in all customer related functions as requested
  • All other duties assigned

Requirements:

Expected to use the following programs:

  • Web browser (for using subscription services to search for projects; will involve keyword and syntax search strings)
  • Microsoft® Excel (for logging and tracking project information, calculation reports, and other general purpose uses)
  • Microsoft® Word (for drafting correspondences, letters, reports, forms templates, and other general purpose uses)
  • Microsoft® Access (for data entry and data management for company/department databases)
  • Adobe® Acrobat (for PDF files, including reading, printing, creating, converting, compiling, bookmarking, and managing PDF content)
  • Microsoft® PowerPoint (for presentation material coordination, revisions, and updates)
  • Microsoft® Outlook (for email uses)
  • MAS 200 (accounting software used for order entry, change orders, and invoice coordination)
  • Contact Database and Document Management Software (for maintaining contact records and information, creating correspondences/documents, importing documents/records, updating project information/records, and tracking project status.

Demonstrated Skills:

  • Excellent verbal & written communication skills.
  • High level of organizational skills.
  • Detailed orientated.
  • Understanding of general business practices.
  • Basic mathematical skills required; including whole numbers, common fractions and decimals. Ability to compute rate, ratio and percentage and to draw and interpret graphs will become necessary.
  • High level of customer service for maintaining excellent customer relations.

Education and Knowledge:

  • HS Diploma minimum, AA Degree preferred.
  • Knowledge of MS Office Suite (Word, Excel, Outlook, Access, PowerPoint) required.
  • Basic understanding of office environment and experience in administrative role preferred.
  • Will be expected to learn and understand company’s product offerings.

Experience:

  • At least 1 year office/ administrative experience; and,
  • At least 1 year experience in a customer relations related field.

Pay offered will be based on several factors including, but not limited to relevant education, qualifications, certifications, experience, skills, and geographic location. We may pay more or less than the range based on the person’s qualifications. In good faith we believe the range is what we will pay for this role at the time of the posting and may change in the future. In addition, Tesco offers a comprehensive benefits package, including health, vacation, holidays, and 100% 401K match of your contributions up to 4% of your earnings.
